1. Never Share User Accounts
Each staff member should have their own credentials. Shared accounts reduce accountability and increase risk.
2. Educate Staff on Phishing
Train all team members to recognize suspicious emails, links, and fake support requests.
3. Use Secure Networks Only
Avoid public Wi-Fi for accessing the PMS. Restrict remote access to approved IPs.
4. Set Refund and Supervisor Thresholds
Use PMS settings to control who can perform high-value transactions.
5. Protect Guest Card Data
Store card information only in tokenized fields—never in notes, memos, or guest profiles.
6. Review User Access Regularly
Audit and remove inactive accounts, and review user roles at least quarterly.
7. Verify Support Requests

8. Never Disclose Sensitive Information
Do not share passwords, guest card data, or full admin credentials with anyone—even if they claim to be support.
